HT TRANSTXT Terms of Service

1. Service Scope

HT TRANSTXT provides professional, human-verified transcription services for all sectors, including legal, corporate, medical, and general business. We apply a uniform, high-security standard to every project, regardless of the industry.

2. Security & POPIA Compliance

  • Closed-Loop Infrastructure: As detailed in our Privacy Policy, all files are uploaded directly to our secure database.
  • Confidentiality: Every project is handled under strict confidentiality protocols. Our transcribers are bound by legally binding NDAs and operate in “Clean Room” environments.
  • Data Scrubbing: Files are purged from transcriber workstations within 24 hours and from our central server after 30 days, as per our Strict Deletion Protocol.

3. Payment Terms (Payment in Advance)

  • Instant Online Settlement: To initiate the transcription and human-verification process, all orders must be settled in full via our secure checkout.
  • Project Activation: Work commences immediately upon successful payment confirmation.
  • Turnaround Calculation: The quoted turnaround time (e.g., 24-hour or 2 days) is calculated from the exact timestamp of payment clearance.
  • Proof of Payment: For manual EFTs (if pre-authorized by management), work will only begin once the funds reflect in our account or a valid bank-generated PDF proof of payment is received and verified.

4. Refund & Cancellation Policy

  • Strict No-Refund Policy: Due to the immediate allocation of professional transcription labor and secure resource scheduling upon payment, HT TRANSTXT does not offer refunds once the transcription process has been initiated.
  • Cancellation Requests: Should you wish to cancel an order after payment but prior to work commencement, requests must be submitted in writing to info@httranstxt.co.za.
  • Management Discretion: Such cancellations are handled at management’s sole discretion and will be subject to a minimum 15% administrative and transaction fee to cover payment processing costs.

5. Professional Verification Window

  • Final Review: Upon delivery, clients have 48 hours to review the transcript. During this period, HT TRANSTXT remains available to address any specific stylistic or terminology queries to ensure the document meets the client’s internal standards. After 48 hours, the project is considered successfully closed.

6. Audio Quality

  • Substandard Audio: Transcription quality is directly dependent on the quality of the source audio.
    • Files with excessive background noise, low volume, heavy accents, or significant cross-talk are transcribed on a “Best Effort” basis.
    • HT TRANSTXT does not guarantee 100% accuracy for poor-quality audio and will not issue refunds based on quality disputes arising from substandard source material.

7. Limitation of Liability

HT TRANSTXT is not liable for any loss, legal consequences, or damages resulting from errors in transcription. It is the client’s responsibility to conduct a final review of the document for its intended use.
