- Data Retention: We delete your files from our servers within 30 days of project completion, unless otherwise instructed. This minimizes long-term data exposure.
4. Our Transcriber Vetting and Management Process
We understand that your files may contain highly sensitive information, including Material Non-Public Information (MNPI). We have a rigorous process in place to ensure the confidentiality of your data.
- Strict NDAs: All of our transcriptionists are required to sign a legally binding Non-Disclosure Agreement (NDA) that explicitly prohibits them from sharing or using any information from the files they transcribe.
- Secure Work Environment: Transcribers are required to work in a secure, private environment and use secure work platforms. They do not download sensitive files to personal devices or use public or shared networks.
- Limited Access: Projects are assigned on a need-to-know, role-based basis. Transcribers only have access to the specific files required for their assignment and no more.
- Data Anonymization: In certain cases, we may use data anonymization techniques, such as redacting personally identifiable information (PII) before a file is assigned for transcription.
5. Information Sharing and Third Parties
We do not sell, trade, or otherwise transfer your personally identifiable information or the content of your files to outside parties. This excludes trusted third parties who assist us in operating our website, conducting our business, or servicing you, so long as those parties agree to keep this information confidential. For example, a third-party payment processor would handle your billing information, but they are also bound by their own privacy policies and security standards. We may also release your information when we believe release is appropriate to comply with the law or to protect our rights, property, or safety.
